Hidden Falls Farm – Terms & Conditions for Attendees
By registering for a retreat or workshop at Hidden Falls Farm Retreat (“we,” “our,” or “the retreat”), you (“you” or “the attendee”) agree to the following terms and conditions:
1. Reservation & Payment Policy
Final payment is due no later than 1 day before the start of the retreat.
A non-refundable deposit or full payment (as specified at booking) is required to reserve your spot.
Failure to submit payment in full by the due date may result in cancellation of your reservation without refund.
2. Cancellation & Refund Policy
We understand that plans can change, and we do our best to balance flexibility with the need to prepare for each guest’s stay in advance.
Deposit Policy
A non-refundable deposit is required to secure your retreat reservation.
If your retreat includes a payment plan, the initial installment is considered your deposit.
Cancellation Deadlines
Cancellations made more than 30 days before check-in: Payments beyond the deposit will be refunded.
Cancellations made less than 30 days before check-in: All payments are non-refundable unless a replacement guest or group is found. If a replacement is confirmed, we will refund your payment (minus the deposit).
Rescheduling Policy
In limited cases, you may be offered the option to transfer your reservation to a future retreat.
This courtesy is offered once per original booking and is subject to availability.
All funds transferred to a rescheduled retreat (including deposits and prior payments) are considered non-refundable.
Any additional payments made beyond the transferred amount will follow the standard cancellation policy above. If you cancel your rescheduled retreat more than 30 days before arrival, only those additional payments may be refunded.
Exceptions & Special Circumstances
Refunds or credits may be offered at the discretion of Hidden Falls Farm Retreat in the following cases:
A cancellation initiated by Hidden Falls Farm (due to weather, illness, or facility issues).
Special accommodations due to significant travel disruptions or emergency events.
Changes to the retreat caused by attendance minimums not being met.
Any approved refunds will be processed after the conclusion of the originally scheduled retreat dates.
3. Assumption of Risk & Liability Waiver
By attending the retreat, you acknowledge and accept that participation involves personal risk (e.g., use of sewing equipment, stairs, outdoor terrain).
Hidden Falls Farm Retreat, its owners, staff, and affiliates are not liable for any personal injury, loss, theft, or damage to property that may occur during your stay.
You agree to use tools, supplies, and retreat property safely and responsibly.
4. Health & Accessibility
The main level of the retreat includes 3 steps, but a portable ramp can be provided upon request for accessibility. Door widths may not accommodate all mobility devices.
If you have specific accessibility needs, please contact us in advance to determine if we can accommodate them.
Please inform us of any food allergies or medical conditions that could impact your safety or participation.
5. Use of Facilities
The retreat operates as a shared-space experience, especially during our Open Door Special (July 1 – Oct 1). During this time, the workroom and common areas may be shared with other guests.
Guests are expected to maintain cleanliness, be respectful of shared spaces, and follow all posted rules.
Alcohol, illegal substances, and smoking are not permitted inside the retreat facilities.
6. Photos & Social Media
Hidden Falls Farm Retreat may take photographs or videos during events for promotional use. By attending, you grant permission for your likeness to be used in marketing materials unless you notify us in writing beforehand.
7. Personal Belongings
You are responsible for safeguarding your sewing equipment, supplies, and valuables. Lockable storage is not currently provided, so please plan accordingly.
8. Conduct & Removal
We reserve the right to remove any attendee whose behavior is disruptive, disrespectful, or poses a danger to others. No refunds will be issued in such cases.
9. Agreement to Terms
By registering for a retreat or workshop, you acknowledge that you have read, understood, and agree to abide by these Terms and Conditions. These terms are subject to change without notice and will be updated on our website as needed.
